Define how the proposed sample will be checked; acceptable dimensions alone may not demonstrate the required operating behaviour.

For buyers in Europe or Russia, include the destination and documentation requirements so the commercial and technical review use the same specification.
Keep repeat orders tied to the approved reference
Use the agreed model code, drawing revision and sample reference when ordering again. Record any accepted change to materials, dimensions, colour, marking or packing. Quantity, pricing, production timing and transport arrangements belong in the quotation for that order; an earlier project is not evidence of availability or timing for a new one.
